WIS Diagnostic

Workplace Intelligence Score (WIS)

Measures occupancy efficiency, hybrid work predictability, and technology integration.

🏢

1. How do you currently track space occupancy and desk utilization?

Manual security guard headcounts or periodic walk-through spreadsheets. (5 pts) Badge swipe / access card access data without live neighborhood resolution. (12 pts) Wi-Fi triangulation or desk reservation app analytics with weekly rollups. (18 pts) Real-time optical/PIR IoT sensors tied to live HVAC and CAFM dashboards. (25 pts)

2. How is your hybrid workplace attendance policy managed and enforced?

Unstructured; employees choose randomly, causing peak Tuesday-Thursday overcrowding. (5 pts) Rigid mandate (e.g. 3 mandatory days) with widespread non-compliance friction. (12 pts) Team-level staggered agreements with shared team neighborhood desks. (18 pts) Predictive dynamic scheduling matched to collaborative project milestones. (25 pts)

3. What is your current desk-sharing ratio (Employees to Assigned Desks)?

1.0:1 (100% dedicated 1:1 assigned seating with high vacancy). (5 pts) 1.1:1 to 1.25:1 (Mild flex sharing with excess empty square footage). (12 pts) 1.3:1 to 1.6:1 (Optimized agile neighborhoods with activity-based spaces). (20 pts) >1.7:1 (Dynamic telemetry-driven flex model saving >30% real estate lease OPEX). (25 pts)

4. How do workplace and facilities insights inform executive real estate decisions?

Decisions are made in silos based on lease expiry dates without utilization data. (5 pts) Annual retrospective reports reviewed right before contract renewals. (12 pts) Quarterly workplace intelligence packs shared with CFO & HR leadership. (18 pts) Continuous real-time portfolio dashboards driving agile lease consolidation. (25 pts)

FM Diagnostic

FM Operational Maturity Assessment

Evaluates asset maintenance, incident response, and CAFM orchestration.

⚙️

1. What percentage of maintenance tasks are planned (PPM) vs reactive emergency repairs?

>60% reactive: We fix equipment when it breaks down. (5 pts) 50/50: Basic calendar PPM schedules followed sporadically. (12 pts) 75/25: Comprehensive digital PPM calendar strictly executed with CAFM. (18 pts) >85% planned / predictive: Sensor vibration/runtime triggers condition-based maintenance. (25 pts)

2. How are critical facility assets (HVAC chillers, UPS, DGs, Elevators) monitored?

Physical paper logbooks completed manually at shift handover. (5 pts) Excel spreadsheets updated daily; alarms only notify on total shutdown. (12 pts) Central BMS / SCADA system with automated SMS/email alerts for critical thresholds. (18 pts) AI-driven BMS digital twin with automated load shedding and fault detection (FDD). (25 pts)

3. How are employee facility helpdesk tickets and service complaints processed?

WhatsApp messages, hallway conversations, or direct emails to FM staff. (5 pts) Generic IT ticketing portal with slow manual assignment and no SLA clock. (12 pts) Dedicated FM CAFM/app with QR codes on desks and SLA tracking by category. (18 pts) AI conversational copilot auto-routing work orders, updating users, and closing loops. (25 pts)

4. What is your statutory compliance and health & safety (OHS) audit readiness?

Scrambling prior to government or fire inspector visits; paperwork dispersed. (5 pts) Folder-based filing; periodic tracking of fire NOCs, lift licenses, pollution permits. (25 pts)

Vendor Audit

Vendor Governance & Risk Audit

Assesses contract leakage, SLA penalty enforcement, and supplier reliance.

⚖️

1. How are service vendor SLAs measured and verified each month?

Vendor submits their own self-reported invoice and timesheet; rarely disputed. (5 pts) Random spot checks by facility officers before signing off payment voucher. (12 pts) Monthly scorecard with objective weighted KPIs (response time, uptime, staffing %). (18 pts) Automated contract deductions/bonuses linked to digital CAFM telemetry and CSAT. (25 pts)

2. What is your contingency plan if a primary facility partner defaults or exits suddenly?

No formal contingency; severe operational breakdown would occur. (5 pts) List of alternate vendor contacts, but no pre-negotiated rates or contracts. (12 pts) Dual-sourcing policy on critical lines (security, engineering, catering) with secondary partner. (18 pts) Hot-standby master service agreements and modular operating playbooks for 24h transition. (25 pts)

3. How are labour statutory compliances (PF, ESI, Minimum Wages) for vendor staff audited?

Trust vendor self-declaration certificate without inspecting challans. (5 pts) Challans collected with invoice, but sample checking is superficial or irregular.
